Trades businesses lose hours to the work around the work: answering the same questions, writing quotes at night, chasing invoices and confirming appointments. AI is useful for the writing and sorting parts of that. It is not a substitute for a site visit, safety judgement or a licensed professional's sign-off.
Start with the enquiry-to-quote path
Map what happens from first enquiry to sent quote. Typical steps: enquiry arrives (phone, form, message), details are gathered, a visit may be booked, a quote is written, and someone follows up. Time each step for a week — even rough numbers.
AI helps most with two steps: turning messy enquiry notes into a structured job summary, and drafting a clear quote description from your own line items and notes. Prices, materials and scope stay yours; the assistant only writes them up clearly.
- Structured job summary from a voicemail transcript or message
- Plain-language quote description from your line items
- A checklist of questions to ask before a visit, by job type
Scheduling and reminders without double-booking
Most scheduling problems are information problems: the address, access notes or parts list was in someone's head. Use a consistent job template and let AI fill it from the enquiry, then a person confirms the booking in your existing calendar or job software.
Automated reminders are worth it once wording is proven. Keep them factual — date, time window, what to prepare — and never let a reminder promise anything your team hasn't agreed.
Follow-up and reviews, honestly
After a job, a short thank-you with care instructions and an invitation to leave a review is reasonable. Don't offer incentives for positive reviews, don't write reviews for customers, and don't filter who gets asked based on how happy you think they are; consumer-protection rules in many places prohibit these practices.
Where AI must not decide
Safety assessments, compliance with building or electrical codes, gas work, structural advice and anything requiring a licence are human decisions made by qualified people. AI can help you write up what the qualified person decided, nothing more.
Questions
- Can AI price jobs for me?
- It can format and total line items you provide, but pricing depends on your costs, local market and the site itself. Keep pricing decisions with you.
